This Privacy Policy constitutes a legally binding agreement. Please read it in its entirety before using our website or services.
Virginia Consumer Data Protection Act (CDPA) Notice: Write It Out Publishing LLC complies with the Virginia Consumer Data Protection Act (Va. Code § 59.1-571 et seq.), effective January 1, 2023. Virginia residents have specific rights regarding their personal data as described in Section 9 of this policy. This policy also addresses compliance obligations under applicable federal law including the CAN-SPAM Act, the Electronic Communications Privacy Act (ECPA), and other relevant statutes.

Write It Out Publishing LLC ("Write It Out," "WIO," "we," "us," or "our") is a limited liability company organized under the laws of the Commonwealth of Virginia, operating as a faith-based self-publishing services company. This Privacy Policy governs the collection, use, storage, disclosure, and protection of personal information obtained through our website at WriteltOutPublishing.com (the "Site"), our publishing services, our educational programs including Release the Scribes Bootcamp, our events, and all other interactions with our business.

This policy applies to all visitors, clients, prospective clients, event registrants, course participants, and any person who submits information to Write It Out Publishing LLC through any channel. By accessing our Site or engaging our services, you acknowledge that you have read, understood, and agree to the terms of this Privacy Policy.

Our fundamental commitment: We do not sell, rent, trade, or barter your personal information to any third party under any circumstance. Your information is used solely to provide and improve our services, communicate with you, and fulfill our legal obligations.

2. Information We Collect and How We Collect It

2.1 Information You Provide Directly

We collect personal information that you voluntarily provide when you:

  • Submit a publishing quote request through our website or the linked quote form
  • Enter into a publishing services agreement with us
  • Purchase course recordings, event tickets, or merchandise
  • Register for a course, bootcamp, workshop, or summit
  • Subscribe to our mailing list or event notification list through MailerLite
  • Submit a contractor application through our Jotform application portal
  • Contact us via email, telephone, or social media
  • Submit a manuscript or book-related materials for review or production

Categories of personal information collected include: full name, email address, mailing address, telephone number, manuscript title and genre, publishing goals and timeline, payment information (processed by third-party processors), social media handles, and any other information you choose to provide.

2.2 Information Collected Automatically

When you visit our Site, certain technical information is automatically collected, including your IP address, browser type and version, device type and operating system, referring URL, pages visited and time spent, and general geographic location derived from IP data. This information is used for site analytics, security monitoring, and improving user experience. It does not identify you personally unless combined with other information you have provided.

2.3 Information from Third-Party Platforms

If you interact with our content on Instagram, Facebook, or other social media platforms, or if you make a purchase through Payhip, we may receive limited information from those platforms consistent with your settings and their respective privacy policies. We do not control the data practices of third-party platforms and encourage you to review their privacy policies independently.

3. How We Use Your Information

We use the personal information we collect for the following purposes, each of which constitutes a legitimate basis for processing under applicable law:

  • Service delivery: To process your publishing quote request, execute your publishing services agreement, and deliver contracted services including editing, formatting, design, and distribution
  • Communication: To respond to your inquiries, provide project updates, and communicate regarding your account or order
  • Marketing (with consent): To send newsletters, event announcements, course updates, and promotional offers. You may opt out at any time
  • Course and event administration: To manage registration, deliver content, and provide support for bootcamps, workshops, and summits
  • Payment processing: To facilitate secure financial transactions through our authorized payment processors
  • Legal compliance: To meet our obligations under applicable federal and Virginia state law
  • Business improvement: To analyze usage patterns, improve our Site, and enhance our services
  • Security: To detect, prevent, and address fraud, unauthorized activity, or technical issues

4. Manuscript and Creative Work Confidentiality

We understand that your manuscript represents your most personal and spiritually significant creative work. All manuscripts, book concepts, outlines, draft chapters, and related creative materials submitted to Write It Out Publishing LLC are treated as strictly confidential. We do not share, disclose, publish, reproduce, or distribute your manuscript or any portion thereof without your explicit written consent.

Our contractors who work on your manuscript are bound by confidentiality obligations consistent with this policy. No contractor receives access to your manuscript beyond what is necessary to perform their specific contracted role. All contractor access is managed and monitored by Write It Out Publishing LLC.

Your manuscript remains your sole intellectual property at all times. See Section 7 for our complete Intellectual Property policy.

5. Disclosure of Your Information

Write It Out Publishing LLC does not sell or rent your personal information. We may share your information only in the following limited circumstances:

5.1 Service Providers and Contractors

We engage vetted third-party service providers to assist in delivering our services, including payment processors (PayPal, Affirm, Afterpay), email marketing platforms (MailerLite), form management tools (Jotform), digital product delivery platforms (Payhip), and project coordination tools. These providers receive only the minimum information necessary to perform their function and are contractually prohibited from using your information for any other purpose.

5.2 Legal Requirements

We may disclose your information when required by law, court order, subpoena, or other valid legal process, or when we believe in good faith that disclosure is necessary to protect the rights, property, or safety of Write It Out Publishing LLC, our clients, or the public.

5.3 Business Transfers

In the event of a merger, acquisition, reorganization, or sale of all or substantially all of Write It Out Publishing LLC's assets, your information may be transferred as part of that transaction. You will be notified via prominent notice on our Site if such a transfer occurs.

6. Data Security

We implement commercially reasonable administrative, technical, and physical security measures designed to protect your personal information from unauthorized access, use, alteration, or destruction. These measures include encrypted transmission of sensitive data, access controls limiting who within our organization can access personal information, and regular review of our security practices.

However, no method of transmission over the internet or electronic storage is completely secure. While we strive to protect your personal information, we cannot guarantee absolute security. In the event of a data breach that is likely to result in a risk to your rights and freedoms, we will notify you and applicable regulatory authorities as required by law.

7. Intellectual Property Rights — Author Ownership

You own your work. Completely. Always. Write It Out Publishing LLC does not claim, acquire, or assert any ownership interest whatsoever in your manuscript, your book, your author name, your story, your brand, or any creative work you bring to us or develop through our services.

All rights, title, and interest in and to your literary work — including copyright, royalty rights, publishing rights, adaptation rights, and all derivative rights — remain exclusively with you, the author. Write It Out Publishing LLC's role is strictly that of a service provider. We facilitate your publishing journey. We do not become a co-author, co-publisher, or rights-holder through any service we provide.

All royalties generated by the sale of your book flow entirely to you through the retailer accounts established in your name. Write It Out Publishing LLC does not receive, collect, or retain any portion of your book's royalties or sales proceeds unless expressly agreed in a separate, signed written agreement for a specific additional service.

Any work product created by Write It Out Publishing LLC specifically for your project — including cover designs, formatted interior files, and author website content — becomes your property upon full payment for the services under which that work was created, subject to the terms of your publishing services agreement.

8. Cookies and Tracking Technologies

Our Site may use cookies, web beacons, and similar tracking technologies to enhance your browsing experience, analyze traffic, and support marketing efforts. Cookies are small data files placed on your device when you visit our Site.

We use the following categories of cookies: Strictly necessary cookies required for the Site to function; analytics cookies to understand how visitors use our Site; and marketing cookies to deliver relevant content. You may control cookie settings through your browser. Disabling certain cookies may affect your ability to use some features of our Site.

9. Your Rights — Virginia CDPA and General Consumer Rights

Depending on your state of residence, you may have specific rights regarding your personal data. Virginia residents have the following rights under the Virginia Consumer Data Protection Act (Va. Code § 59.1-575):

To exercise any of these rights, please submit a written request to releasethescribes@gmail.com with the subject line "Privacy Rights Request." We will respond within 45 days of receipt as required by the Virginia CDPA. We will not discriminate against you for exercising your privacy rights.

10. Email Communications and CAN-SPAM Compliance

Any marketing emails we send comply with the CAN-SPAM Act of 2003. Each marketing communication will identify Write It Out Publishing LLC as the sender, include our valid physical address, and include a clear and conspicuous mechanism for you to opt out of receiving future marketing emails. We honor opt-out requests within 10 business days.

Transactional emails related to your active publishing project, course enrollment, or purchase confirmation are not marketing communications and will continue to be sent as necessary to deliver our services to you.

You may manage your email preferences at any time by clicking the unsubscribe link in any marketing email or by emailing releasethescribes@gmail.com.

11. Children's Privacy

Our Site and services are intended for adults 18 years of age and older. We do not knowingly collect personal information from individuals under the age of 18. If you are a parent or guardian and believe your child has provided personal information to us, please contact us immediately at releasethescribes@gmail.com. Upon verification, we will promptly delete such information from our records.

12. Third-Party Links and Platforms

Our Site contains links to third-party websites and platforms including our quote form (hosted externally), our online store, Payhip (for course recordings), MailerLite (for email list management), and Instagram. These third-party platforms operate under their own privacy policies, which we encourage you to review. Write It Out Publishing LLC is not responsible for the privacy practices, content, or security of any third-party website or service, and our linking to those sites does not constitute an endorsement of their privacy practices.

13. Data Retention

We retain personal information for as long as necessary to fulfill the purposes outlined in this policy, to comply with our legal obligations, resolve disputes, and enforce our agreements. Client project files, including manuscripts and related communications, are retained for a minimum of three (3) years following project completion for legal and business record purposes. You may request earlier deletion subject to our legal retention obligations.

14. Changes to This Privacy Policy

We reserve the right to update this Privacy Policy at any time. Material changes will be communicated by updating the "Last Updated" date at the top of this page and, where appropriate, by direct notification via email. Your continued use of our Site or services after any modification constitutes your acceptance of the updated policy. We encourage you to review this policy periodically.
